Leave Program Specialist
Summary:
Be a key part of a team that has the strength and support to stay on top of the ever-changing world of absence management in the US. This is an exciting time for the Leave Program Team and this position will be involved building and implementing a new HRIS and Leave process for the US Team Members.
The Leave Program Specialist administers all types of leave of absence in the US, working with cross functional teams, including payroll, benefits, and compliance. The Leave Program Specialist oversees and administers leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), State Paid Leaves, the Americans with Disabilities Act (ADA), local leave laws, and short-term or long-term disability plans.
Duties/Responsibilities:
- Administer leave of absences based on Federal and US State and Local leave regulations and protections, and other applicable laws or company policies
- Manage the leave administration process from initial notice of the need for leave to the employee’s return to work. Gather and ensure completion of required paperwork, including medical certifications, determine eligibility, designate, or deny leaves as appropriate, recertify, and track and account for time used.
- Process hours for payroll and coordinate with state disability payments to ensure payroll is in leave compliance
- High degree of professionalism with ability to deal sensitively with confidential material
- Process leaves applications in HRIS system with having the ability to use multiple screens to cross function data for accuracy
- Demonstrated ability to identify and anticipate client needs, convey appropriate options, and make recommendations for implementation
- Provide guidance to team members as it relates to their applicable leave of absence policy
- Distribute required communications to team members and managers
- Ensure compliance with federal, state, and local legislation requirements regarding leaves of absence
- Coordinate cross functionally with payroll, legal and benefits, as necessary
- Reporting and metrics on leave case management as required
- Perform other related duties as assigned
Required, Skills and Abilities:
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
- Excellent English-language written and verbal communication skills, bi-lingual is a plus
- High attention to detail and ability to manage to deadlines
- Demonstrated leave administration or similar experience
- Understanding of employee health and welfare benefit plan structures
- Excellent Excel skills, and proficiency in office suite or similar software
- Demonstrated experience working with payroll and/or HRIS systems
- Strong interpersonal skills with decision-making, problem-solving, and analytical skills
- Ability to build relationships with and confidence among leaders and employees by being a subject matter expert and delivering consistent results
- Demonstrated ability to work effectively with all levels of the organization and cross functional teams
- Ability to thrive within the Savers work environment and culture
- Ability to think critically and provide appropriate solutions
Minimum Required Education, Training and Experience:
- 4+ years of leave administration or similar experience
- PHR/SPHR or SHRM-CP/SCP (preferred)
- Associate or bachelor’s degree (preferred)

- Ability to sit, stand, walk, push, pull, reach overhead with hands and arms, and bend to the floor, stoop, kneel or crouch.
- May need to lift and/or move up to 10 pounds of occasionally
- Prolonged periods sitting at a desk and working on a computer
